Congratulations on joining the CoachNow Academy! This platform will allow you to work more efficiently, giving you more time to generate revenue and work more productively with your students, ultimately enhancing their experience and improving your business.
CoachNow Academy Roles and Access:
This section provides an overview of the platform, its various components, and each user's access, defining how they can interact with the platform.
Fundamentally, the platform is comprised of two experiences:
Coach-side experience (including Admin and Schedulers); and
Athlete experience.
Coach Experience (Including Admin and Schedulers):
Depending on the role of the user, they will have access to the following components:
Admin Dashboard: Available to Admins and Coaches who are Admins.
Desktop Calendar and Scheduling: Available to Admins, Coaches, and Schedulers.
CoachNow Academy App: Available to all Coaches.
Each role will have the following abilities:
Admin: Admins have the role of Coach as well. Admins have access to:
Invite other Admins, Coaches, and Schedulers
View session calendar for all coaches part of the facility on the desktop calendar.
Book sessions and blocks for all coaches part of the facility on the desktop calendar.
Coach: Coaches can access the CoachNow Academy web platform and app. Coaches will have the following capabilities:
Have a calendar to book sessions.
View session calendar for all coaches part of the facility on the desktop calendar.
Book sessions and blocks for all coaches part of the facility on the desktop calendar.
Scheduler: Scheduler is a category to capture non-Coaches who work at a facility and assist with scheduling sessions for Coaches but do not provide Coaching services themselves. An example might be an intern or merchandiser who occasionally answers the phone and helps with scheduling sessions. Schedulers have the following abilities:
View any Coach's Calendar and book sessions subject to availability.
Athlete Experience:
Athletes will have access to the following:
Desktop Calendar
CoachNow App for athletes
View and book sessions with their coaches.
Setting Up Your Account (Admin, Coach, Scheduler):
When your CoachNow Academy subscription is activated as an Administrative User (Admin), or you are invited to be a Coach or Scheduler for a facility, you must sign up for an account and set up your profile. You will receive an invitation email directing you to www.coachnow.io or mobile app (as shown below).
Depending on your role, you can sign up via a web browser or the mobile app. We suggest setting up your account based on the following:
Administrative User: If you are an Administrator for your facility, use the web browser to set up your account and facility by using the web link.
Coach: Set up your account online or via the iOS or Android App.
Scheduler: Set up your account via a web browser ONLY.
To set up your account, follow the directions below:
Click the desired link from the email:
Web Link: Directs you to a web browser (as shown below).
Mobile App Store Links: You will first be taken to the Apple App Store or the Google Play Store, where you will be asked to download the app. Once downloaded or if you have already done so, click Open, and you will be directed to the mobile app.
Press "Sign In With Golf Genius”
Click "Create an Account" as a new admin to create your account. After clicking "Create an Account," you will be asked to fill out the following details (as shown below):
First Name: Your First Name.
Last Name: Your Last Name.
Email: Your Email address. Note: It is critical that you use the same email for your invitation to set up your account. If you do not, our platform will not recognize you as a valid user, and you will not be added to your facility.
Password: A unique password with lowercase text, a number, and a minimum of 8 characters is required.
After creating your account or signing in, you will see your CoachNow Academy dashboard (as shown below):
As an Administrative User (Admin), you'll have access to several fundamental components of the platform:
Admin Settings: Manage your facility, and add additional admins, coaches, and schedulers (as shown below).
My Calendar/ Facility Calendar: View Calendar (Desktop), coach Calendar, and send communications.
Calendar Settings: View and edit Booking Options, Availability, Schedule Options, and Calendar Integrations.
Programs: Build a Drop in Clinic or Series
Access the Mobile App
You can download the app from the Google Play Store or Apple App Store on your mobile device.
If you have set up your account via a mobile device, you can click on the Calendar icon in the menu at the bottom of the homepage to view your Calendar.
Regardless of how you accessed your account, you are now registered and able to work with CoachNow Academy on a web browser or mobile app using the same email and password. After setting up your account, please review the following:
Settings: Add additional coach details (i.e., Bio, PGA Number, Awards) or update your personal information. For more details on the coach settings, Click Here.
General Availability: Set up your calendar availability to ensure your athletes can only book sessions when you are available. For more details on setting up your general availability, Click Here.

Schedulers:
After creating a scheduler account, the user will be fully set up to use the CoachNow Academy. The scheduler will see the following screen after completing the sign up process:
