Welcome to CoachNow Academy - High-Level Overview and Platform Layout

This guide walks you through the essential steps to set up your CoachNow Academy account:
1. Set Up Your Coach Profile
Your Coach Profile is what athletes see when they connect with you. To set it up:
Go to Account Settings
On the web: Click the three dots in the top right corner → Account Settings
On mobile: Tap the profile icon → Account Settings
Why This Matters
If you use Stripe Connect for billing, your profile is where athletes will purchase packages or subscriptions.
Add links to your website or social media to ensure your profile isn’t blank when athletes visit it.
2. Adjust Admin Settings
Enter Facility Details – Ensure your facility name and address are correct.
Sync with Golf Genius (if applicable) – We can help sync your Tournament Management roster into your CoachNow calendar for easier scheduling.
3. Set Up Scheduling and Branding
Public Booking Links – If you want athletes to book sessions with you, copy your scheduling link and add it to your website or email.
Email Branding – Upload your logo so it appears in booking confirmations.
4. Manage User Roles
CoachNow allows you to assign different roles to team members:
Coach – Can coach but not manage users.
Admin Coach – Can coach and manage people.
Scheduler – Can only manage the calendar.
Admin – Can manage users but doesn’t have coaching tools.
Review your settings to ensure each team member has the right permissions.

Session Scheduling & Calendar Settings

Your CoachNow calendar helps you manage private sessions, external calendar integrations, and programs. Different event types are color-coded for easy reference.
Booking Options
To allow athletes to book sessions, you need to create booking options that clearly describe what you offer. Instead of vague labels like “One Hour,” use specific names that reflect the session’s purpose. Well-defined booking options help athletes choose the right service.
Availability and Scheduling Controls
You can set availability windows for when you’re open for bookings. If you coach seasonally, you can create secondary calendars and switch between them as needed. Scheduling controls include:
Sequential sessions (back-to-back bookings)
Top-of-the-hour sessions
Booking cutoffs and cancellation policies
Automatic reminders for upcoming sessions
Calendar Integrations
CoachNow allows you to sync with external calendars, blocking out times when you’re unavailable. You can also share your booking link on your website or in emails so athletes can book sessions directly.
Managing Bookings
Coaches and admins can book sessions for athletes, add new athletes during scheduling, and control team-wide availability. The facility calendar provides an overview of all coaches’ schedules and allows schedulers to manage bookings across the team.
Mobile Access
Your calendar is fully accessible from the CoachNow mobile app. You can book sessions, view availability, and adjust settings directly from your phone.

Billing and Payments Through Stripe Connect

Communication & Video Analysis Features

Spaces: One-on-One Communication
A Space is where all communication and video analysis for an athlete happens. It serves as their training history, containing everything shared over time, including posts, videos, notes, and feedback. Spaces support collaboration—other coaches, parents, or mentors can be added to provide a complete support system.
Athletes and coaches can both post in Spaces, creating a two-way conversation that fosters accountability and shared understanding. Spaces remain active indefinitely, making it easy to track an athlete’s development over time.
Groups: One-to-Many Communication
Groups are used when content is relevant to multiple athletes. Unlike Spaces, Groups can be structured for collaboration or read-only content. Coaches can control posting and interaction settings, making Groups ideal for:
Skill-based training groups (e.g., a putting-focused group)
Online coaching programs
Exclusive content and learning resources
Lists: Organized Messaging
Lists allow you to send the same message to multiple athletes privately. When posting to a List, each athlete sees the message in their own Space without knowing who else received it. This is useful for:
Sending personalized program offers

Managing communication with specific athlete groups
Video Analysis Tools
CoachNow’s built-in analysis tools streamline feedback. Coaches can:

Athletes receive an email invitation with a six-digit code. They simply:

Click "I was invited"
