Family Account Management — Guide for Coaches

Family Accounts allow parents to add their children (under 13) to their CoachNow account, so you can book sessions and register programs on the child's behalf — all billing and communications flow through the parent.

Note: Family Accounts are currently available on web only. Mobile support is coming soon.


How It Works

Family Accounts are set up by the parent, not the coach. Here's the overall flow:

  1. You invite the parent to CoachNow using their email address (not the child's email)

  2. The parent creates their account and adds their child under Account Settings → Family

  3. Once the child is added, they'll appear in your system linked to the parent account

  4. You can then book sessions or register the child for programs as you normally would


Step 1: Invite the Parent

When setting up a Family Account, always invite the parent or guardian — not the child. The parent's email is the account holder, and all billing, notifications, and session confirmations will be sent to them.

Invite the parent the same way you'd invite any athlete — by email through your CoachNow account.


Step 2: Ask the Parent to Set Up the Family Account

Once the parent has created their account, ask them to add their child under Account Settings → Family. This step must be completed by the parent before you'll be able to see or book for the child.

Step 3: Book for the Child

Once the parent has added their child, you'll see the child listed under the family account when booking a session or registering for a program. Select the child as the participant and complete the booking as normal — payment will be directed to the parent's account.

Note: Once a session is booked for a child, the assigned participant cannot be changed.


How Family Bookings Appear in Your Calendar

Family bookings appear as standard sessions in your calendar and athlete list. The child is listed as the athlete, with a visual indicator linking them to the parent account. This helps you identify that billing and communications are handled through the parent.

When a session is booked for a child, a Space is automatically created with:

  • The child designated as the athlete

  • The parent automatically added as a Space member

The parent cannot be removed from the Space independently — since the child doesn't have their own account, the two are permanently linked.


Billing and Notifications

All payments and communications go to the parent. Children under 13 do not have independent email addresses or phone numbers in the system. The parent is the paying user for all family bookings.
